Host Team Tutorial

Everything you need to post, manage, and run a tournament from start to finish.

1

Post a Tournament

From the Tournament Finder, click “Post a Tournament.” Fill in the name, sport, gender, and grade levels — each grade level becomes its own listing so teams can register for the exact division they want. Set the entry fee, max teams, and reserve free spots for your own host teams.

2

Manage Registrations

Open the Organizer Dashboard to see every team that signs up. Use the status dropdown on each registration to move teams between Pending, Confirmed, Waitlist, and Cancelled. When a waitlisted team gets promoted, they’re notified automatically by email.

3

Add Your Host Teams

In the expanded tournament view, switch to the “Host Teams” tab. Add your own teams directly — they skip the entry fee, skip the waiver, and occupy your reserved spots without counting against external capacity.

4

Edit & Close Registrations

Click the pencil icon on any tournament to edit dates, fees, payment details, or contact info. When your event is full, click “Close Registration” to stop new sign-ups. If the event is cancelled entirely, “Cancel Tournament” emails every registered team automatically.

5

Generate a Bracket

Once teams are confirmed, switch to the “Schedule” tab. Pick a format (single elimination, round robin, seeded bracket, etc.), arrange your seed order, set game times and courts, then click “Generate Schedule.” The bracket appears instantly and is saved to the tournament page for teams to view.

6

Collect Payments

On the tournament form, enter your Venmo handle, check payee, and mailing address. Every confirmation email sent to registered teams includes a structured “How to Pay” block with your payment details, so teams know exactly how and where to send their entry fee.

7

Deadline Reminders

Set a registration deadline on your tournament. Pending teams automatically receive reminder emails as the deadline approaches, so you don’t have to chase them manually.
